Adminstrative Assistant (Remote)

We’re looking for a highly organized and detail-oriented Administrative Assistant to support a busy U.S.-based clinic. The ideal candidate will have prior administrative experience, excellent communication skills, and a basic understanding of legal processes or terminology. You’ll be working closely with the clinic’s Manager and will play a vital role in ensuring smooth day-to-day operations.


Key Responsibilities:

        Answer phone calls, take detailed messages, and manage incoming call requests

        Monitor and respond to emails, escalating or drafting replies when appropriate (after training)

        Maintain clear records of communications and follow-ups

        Create and manage invoices and assist with basic billing tasks

        Support internal documentation, note-taking, and coordination efforts

        Work closely with senior staff to execute administrative tasks as needed


Qualifications:

        Prior experience in an administrative, executive assistant, or support role

        Strong written and verbal English communication skills

        Ability to multitask and manage time effectively

        Proficient with email tools, spreadsheets, and invoicing software

        Basic legal knowledge or background (e.g., law degree or paralegal experience) is a plus

        Detail-oriented, resourceful, and proactive in problem-solving


Work Setup:

        Remote, Philippine-based preferred

        Must be comfortable working U.S. business hours

        Will report directly to Clinic Manager
